How to automatically handle incoming invoice

18. 5. 2021 | Internal Processes

Nobody likes managing invoices, but every business owner knows that having finance in order is a prerequisite for a successful business. At this moment, automation comes in handy.

How can automation make your life easier

Imagine that an invoice arrived in your email inbox. You add a tag or move it to a specific folder. Every 5 minutes, new invoices are downloaded and stored in your cloud storage (Google Drive, Dropbox, etc.).

The data are stored in a table like Google Sheet or Airtable or even a project management software like Asana or Trello. This helps you to streamline the invoice approval process. When you approve the invoice, it is sent directly to an accountant.

How to make this better?

  • Create a separate email address for incoming invoices. This makes it easier to filter messages, and you also don’t provide access to your messages to anyone.
  • Implement tools like Rossum to read the data from invoices. This is great if you need to report costs.
